Case studies
Built and deployed in real operations.
A live internal tool for an engineering company, followed by illustrative workflow examples. Scope and deployment time depend on the systems, data and controls involved.
Engineering company / supplier qualification
Faster review of supplier quotations and quality certificates.
Challenge. After participating in tenders, the team had to identify suitable suppliers, organise quotations and quality certificates, and assess compliance and technical requirements. Supplier outreach and offer review were handled manually.
Deployment. EVA Ops built a live internal tool that searches for suppliers, checks the existing supplier base and uses similarity matching to focus the tender team on relevant options. The implementation took nine weeks.
Result. The client reports saving more than 80% of the time previously spent reading and evaluating supplier offers. The result is client-reported; the measurement window and baseline method have not yet been published.
Status. Live internal tool.
International NGO / tender evaluation
Evidence-backed technical evaluation and recommendations.
Challenge. Donor tenders could involve incomplete or inaccurate consultations and product specifications. Reviewing supplier offers, assessing technical trade-offs and preparing fair, well-supported evaluations could require engineers to spend several days on each process.
Deployment. EVA Ops developed automated reporting and client-evaluation scoring. The workflow applies human-defined parameters to analyse the available evidence and produces a recommendation and evaluation card for human review. Its deterministic rules and heuristics make the basis for each result more consistent and traceable.
Result. The process was reduced from approximately four days of human work to around 30 minutes, followed by human review.
Status. Completed internal tool.
Control. The system supports technical judgement; it does not replace the accountable reviewer or remove the need to validate incomplete inputs and trade-offs.
Illustrative workflow examples
Order inbox
Before
An operations team retypes order details from incoming messages and manually forwards incomplete requests.
Proposed workflow
Extract the required fields, check the order rules and prepare a routed action. A reviewer handles missing information and approves actions that need judgement.
What to measure
Handling time per request; completed orders; review effort; corrections.
Branch records
Before
Branch teams copy updates between spreadsheets and central applications, creating conflicting versions.
Proposed workflow
Identify the owner of each field, connect the agreed systems and route failed or conflicting updates to the responsible person.
What to measure
Manual entries per update; record mismatches; failed handoffs; resolution time.
Operational reporting
Before
A team repeatedly exports files and reconciles them before preparing an operational report.
Proposed workflow
Create a recurring data flow with validation checks, flag incomplete records and prepare consistent reporting inputs.
What to measure
Preparation time; missing records; freshness of data; time spent correcting reports.
